Email notification and improved Business Process Management: Users can set up notifications that can be sent to any userÆs email address to notify them of document status, including pending approvals, routing events, and expiring deadlines. Not only are triggers and alerts set up at different stages of the process, but ôpendingö items are also viewable from the userÆs inbox. When documents are approved, forwarded, or any other action is taken, email alerts can be created to notify the user of a change in the state of the original document. Better visibility of the whole business process allows for faster resolution of issues and lets management focus on the process instead of the documents.
Re-Usable Workflow Components: The new design and programming of workflow processes now allow users to recycle components and functions from previously created workflows. This is useful in situations where repetitive flows need to be created for different departments or where portions of an already existing workflow can be tailored to fit another process.
New IntelliChief Print Capture Driver: Now the output from any PC document, such as a MS Word, or Excel file, can be sent to IntelliChief for on-the-fly indexing. The PC document is easily captured by the IntelliChief Print Capture Driver and converted to an electronic image ready for indexing and archival into the system. Indexes, document profiles, security access, and other features can easily be setup using the Print Capture Driver provided with IntelliChief.
More Powerful System Diagnostic Tools for Troubleshooting: Powerful system diagnostic tools have been added to IntelliChief, including tools for monitoring, administering, and notifying all IntelliChief components running on the IntelliChief server. These tools provide administrators the ability to know when an element of the system, like a service on the server or a hardware component, has a potential issue and needs attention. The system then sends alerts and provides easy troubleshooting help.
Automatic Re-Indexing of Documents: IntelliChief can be setup to automatically search for, retrieve and re-index documents without any user intervention. This is useful for situations when a batch of related documents needs to be updated. A good example would be when a check is cut; IntelliChief will automatically update the index for the invoice, purchase order, or other related document, to include any additional indexes added or update the current values to reflect the changes.
Improved Folder Monitoring: Improved to increase performance for high volume transactions, this development allows users to set up folders on the network for regular monitoring. Users can set up various folders and when newly captured documents (via scan, email or fax for example) enter these folders, IntelliChief ôattachesö the document to the correct workflow process so that the next course of action can be taken (such as alerting whomever is responsible for processing those documents or automatically applying specific indexes). The end result is just one more way IntelliChief keeps documents moving smoothly through a business process.
Automatic Index Propagation: New feature which allows for propagating the index of a document to all documents in a batch, or to related documents (e.g., Invoice has a related PO and a related PO Request). Automatic Index Propagation can be triggered by a barcode on the first page of a document batch, thus minimizing user intervention.
Improved Document Separation: Users can now break one document apart and link it to multiple documents. If you receive an invoice, for example, that has multiple line items and they are all related to different purchase orders, you can link the invoice to each individual purchase order by transforming that original invoice into multiple documents. Each one will have its own set of indexes and can be part of different workflow processes. Cover pages and blank pages can be removed to reduce the final file size of the imaged document.
Full Text Search: All words in an imaged document can be searched when looking for a document. Users searching through a massive database can find relevant documents quicker and more efficiently using this feature, especially when the data being searched is not part of the set of indexes that comprises the document.
Enhancements in the client side: Additional enhancements including support for remote clients on a WAN (Wide Area Network) are included.
Inbox Grouping: Workflow inboxes function much like your typical Email inbox, containing items pending approval or other actions during the processing of a document. For users dealing with multiple processes (e.g. a manager that oversees several departments), the list of inboxes can be significant. The new version provides additional flexibility for working with these workflow inboxes, allowing users to group several into single folders using a tree-like structure that allows expanding or collapsing the view as they wish. This feature provides for better organization and allows users to find particular workflow inboxes quicker and more reliably.
